Overview
ScopeBetter provides a flexible permission system that allows administrators to control user access and capabilities within the platform. This article explains the out-of-the-box permission profiles available and how they can be customized to meet your organization's needs.
Access Levels
Every user in ScopeBetter is assigned one of two access levels:
- Administrator - Full platform access with the ability to manage settings, users, and permissions
- User - Standard access with permissions defined by their assigned permission profile
What Are Permission Profiles?
Permission profiles are predefined sets of permissions that determine what actions a user can perform in ScopeBetter. These profiles help organizations:
- Align user access with license limitations
- Enforce internal policies and procedures
- Maintain consistent access control across teams
- Quickly onboard new users with appropriate permissions
Customizing Permission Profiles
Administrators have full control to manage permission profiles:
- Edit existing profiles to modify permissions
- Delete profiles that are no longer needed
- Duplicate profiles to create variations
- Rename profiles to match your company's terminology and language
Default Onboarding
When new users are first added to ScopeBetter, they are automatically assigned the Member permission profile. Administrators can then change this to a more specific permission profile based on the user's role and responsibilities.

User-Level Permission Customization
While permission profiles provide a standardized approach to access control, administrators can further customize permissions for individual users when needed.
How It Works
- Administrators can modify permissions for specific users in the Members area of the platform
- These modifications override the default permission profile settings
- When permissions are customized at the user level, the system displays the permission profile as "User defined"
When to Use User-Defined Permissions
Consider customizing permissions at the user level when:
- A user needs temporary access to specific features
- An individual's role doesn't fit neatly into existing profiles
- Testing new permission combinations before creating a new profile
- Handling unique or exceptional access requirements
Best Practices
For Administrators
- Start with standard profiles - Use out-of-the-box profiles whenever possible for consistency
- Document customizations - Keep records of why certain profiles were modified or why users have custom permissions
- Review regularly - Periodically audit user permissions to ensure they remain appropriate
- Use meaningful names - Rename profiles to match your organization's terminology for better clarity
- Limit user-defined permissions - Reserve individual customization for exceptional cases only
For Organizations
- Align with policies - Ensure permission profiles reflect your internal security and compliance requirements
- Consider licenses - Configure profiles to respect license limitations and maximize value
- Plan for growth - Create profiles that can scale as your team expands
- Maintain separation of duties - Use different profiles to enforce appropriate segregation of responsibilities

Where to Find Permission Settings

Impact of Changes
Remember that changes to permission profiles affect all users assigned to that profile. If you need to test changes, consider:
- Duplicating the profile and testing with a single user first
- Creating a new profile rather than modifying an existing one
- Using user-defined permissions for individual testing
Summary
ScopeBetter's permission system provides flexibility and control through:
- Two access levels (Administrator and User)
- Account-type-specific permission profiles (Agency or Company)
- Customizable out-of-the-box profiles
- Individual user-level permission overrides
- Easy profile management for administrators
This system enables organizations to maintain security and compliance while providing users with the access they need to be productive.
